Legal Secretary

SEIU Local 1000 is a cutting-edge Union that represents 95,000 state employees throughout the State of California with an opening for an experienced Legal Secretary in our Oakland office.

DUTIES: Performs the full range of legal secretarial work including, but not limited to, the following:

  • Types in draft or final form on a computer, typewriter or word processor from notes, handwritten materials or transcription using correct form.
  • Takes and transcribes dictation.
  • Sets up and maintains case files, including but not limited to opening the file, entering the information into the appropriate computer system/program (e.g., Compass), and filing documents in case files.
  • Maintains and operates case calendaring system in compliance with legal requirements, including calendaring deadlines, hearing dates, grievance elevation dates, and other due dates.
  • Sets up and maintains files.
  • Requisitions and maintains office supplies.
  • Handles routine copying and distribution of materials.
  • Acts as administrative aide to assigned staff.
  • Maintains law library.
  • Performs other related duties as required.
  • Files appeals, motions, notice of appearance/contact update forms and various other documents with appropriate state agency within required deadlines.
  • Opens mail, informs staff of mail received, and delivers mail to staff person(s).
  • Formats documents, prepares envelopes for mailing, and mails documents.
  • Prepares and makes changes to standard letters.
  • Prepares and makes changes to standard grievance letters, including elevating grievances within required deadlines.
  • Regular, punctual attendance.
  • Perform secretarial duties utilizing legal terminology, procedures, and documents.
  • May also assist with legal research, reviewing law journals and other legal publications to identify court decisions pertinent to pending cases.
  • May compose various legal documents including but not limited to pleadings, discovery, motions, subpoenas and correspondence.
  • Assist with general office support efforts, office administration and perform other duties as requested and assigned. May serve as a backup to other secretaries as needed.
  • Act as a liaison with experts and witnesses in scheduling/coordinating appearances, medical exams and/or depositions.


  • Education: Equivalent to completion of the 12th grade.
  • Experience: Three (3) years of experience as a legal secretary and/or similar experience in a law office environment.
  • Other: Proficiency at typing 70 words a minute.
  • Proficiency in proofreading skills and knowledge of grammar rules.
  • Knowledge of legal terminology, state and federal court rules and procedures. Demonstrable knowledge of legal citation form, familiarity with legal publications, legal library filing and updating material, and calendaring.
  • Proficiency and familiarity with word processing programs (e.g. WordPerfect) and legal calendaring support software (e.g. Abacus).
  • Excellent organizational skills.
  • Experience multi-tasking and meeting deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office applications.
