Job Summary:
This position is the lead for the administration department and reports to the Chief of Staff. This position provides support for the office of the Chief Executive Officer and Chief of Staff. These duties fall into four categories: providing administrative support to the member governance entities, providing personal administrative support to the CEO and COS, coordinating the activities of the administrative pool with direction from the executive leadership, and deploying project management support.

Primary Responsibilities Include:

  • In coordination with the COS and department heads, the Executive Assistant will personally staff critical member governance structures or coordinate the administrative work to ensure support of the structures is in place. This administrative support includes communication of the activities of all ONA member governance structures.
  • Scheduling and administrative support for the CEO and COS need to be provided by a trusted and consistent point of contact. The Executive Assistant will assume this role or, with the agreement of the CEO and COS, identify a program assistant who can have this as part of their permanent assignment.
  • The EPA will coordinate the hours, duties, assignments and activities of the program support pool. The EPA will have broad discretion for making assignments and moving work between program assistants. The EPA should be able to record the volume of work and level of productivity in PA pool for the purpose of adjusting work assignments and accurately requesting additional resources.
  • The EPA will also be the ONA expert in project management responsible for training staff in project management and working with IT and communications to generate a consistent set of digital tools for mapping and displaying projects. The EPA will develop a series of visual boards with current information about the status of each project.

Education and Experience:

  • Bachelor degree with at least 7 years of experience in executive support, communications, project management, membership, and operations management
  • Advanced word processing skills, desktop pub¬lishing, software programs, computer knowledge
  • Excellent verbal and written communication skills to transmit messages and infor¬ma-tion; draft letters, minutes and other mate¬rials; and edit written materials
  • Supervisory skills and experience
  • Strong organizational skill to prioritize time and complete tasks and projects within defined time frame
  • Ability to work independently without close supervision
  • Strong analytical and problem solving skills
  • Discretion in handling confidential information
  • Strong interpersonal skills to deal tactfully with inside and outside contacts under pressure due to time constraints
  • Strong attention to detail in order to record, process and transmit data; prepare materials; and complete other responsibil¬ities
  • Experience in Human Resources, employee benefits and personnel issues preferred
