Administrator & Legal Assistant

The International Longshore and Warehouse Union (ILWU) has an immediate opening for an onsite Administrator & Legal Assistant position open in San Francisco, California. The successful candidate should have a minimum of five years in office management roles and a minimum of three years of legal assistant experience. Experience working for a labor union or non-profit is recommended. Experience with and knowledge of Microsoft Office programs (Word, Excel, and Outlook) are also required.

Job Duties & Responsibilities include, but are not limited to: 

  • Manage overall day-to-day operations of the ILWU headquarters in San Francisco, with an eye toward building and optimizing organization-wide processes for efficient operations;
  • Coordinate and supervise the work of multiple clerical staff and effectuate policy with respect to office rules and discipline;
  • Create and maintain systems for effective organization of office files, both electronic and physical;
  • Prepare, review, and finalize correspondence, memoranda, and other communications for the Titled Officers and the General Counsel;
  • Screen and handle calls and correspondence to the Titled Officers and the General Counsel;
  • Assist the Titled Officers with various matters, such as scheduling meetings, booking travel, preparing materials for meetings, locating information or documents, etc.;
  • Provide legal support to the General Counsel, including preparing and formatting pleadings, running and formatting tables of contents and tables of authorities, executing court and administrative agency filings (NLRB), maintaining physical and electronic legal files, etc.;
  • Track deadlines and assist with renewal of insurance policies, bonds, contracts, vendor agreements, etc.;
  • Collaborate with vendors, including but not limited to hotels, IT firms, and other others, to support organization needs;
  • Coordinate, prepare materials for, and attend International Executive Board meetings multiple times a year (travel required);
  • Work with other Staff to plan, prepare for, and execute the ILWU’s International Convention and Election every 3 years (travel required);
  • Handle matters of confidential nature, using own initiative, judgement, and knowledge of office practices and policies;
  • Work closely with other Department Heads and the General Counsel to ensure efficient operations of the organization and to complete special projects.

Qualifications & Skills:

  • At least five years of experience managing an office and supervising employees;
  • At least three years of legal assistant experience;
  • Proficiency in MS Office (Word, Excel, and Outlook,);
  • Experience using databases and managing and working with large data sets; 
  • Experience creating and maintaining organized paper and electronic file systems;
  • Experience operating and troubleshooting office equipment (e.g., fax machines, printers, copiers, phones, computers);
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Attention to detail and problem solving;
  • Excellent written and verbal communication skills;
  • Strong organization and planning skills.

The position reports to the ILWU’s four Titled Officers and the General Counsel. Pay and benefits are generous. The position is covered by a collective bargaining agreement and has an excellent compensation package including, defined benefit pension, 401(k), comprehensive medical, dental, vision benefits, life insurance, and disability insurance. The base salary range is $115,000 to $140,000 depending on experience.
