Executive Assistant

The Oregon Federation of Nurses and Health Professionals, AFT Local 5017, represents over 6,500 nurses and health professionals in Oregon and Southwest Washington, who are employees of Kaiser Permanente, PeaceHealth, St. Charles, Lab Corp, Legacy, and Adventist Health Systems. OFNHP is an affiliate of the Nurses and Health Professionals division of the AFT, AFL-CIO.
RESPONSIBILITIES
The Executive Assistant is responsible for providing confidential administrative support to the President and Chief of Staff ensuring highly sensitive support with integrity and professionalism. The position requires a high degree of flexibility and adaptability to balance the often-conflicting needs of employees, members and the Union. Prioritizing scheduling and implementing all tasks with a sense of urgency, meeting timelines and deliverables are key to the success of the organization while maintaining the highest level of confidentiality and ethics.
JOB DUTIES:
- Serve as primary contact to the President and Chief of Staff.
- Manage and maintain President and Chief of Staff’s schedule, travel and expenses.
- Maintain positive interactions with OFNHP members and staff.
- Executive Board liaison responsible for scheduling meetings, preparing and maintaining record of agenda, minutes, and materials for the meeting. Follow up on all action items.
- Use project management software (ex. Basecamp)
- Use professional judgement to screen incoming communication to President.
- Assist in travel coordination for organizational needs.
- Coordinate and maintain OFNHP delegate information and participation for conventions, meetings, and events.
- Keep up-to-date record of all OFNHP policies and procedures.
- Maintain all vendor communication, contacts, and service agreements.
- Membership merchandise pre-approved ordering, inventory control and distribution to members and staff.
- Responsible for office inventory. Seek approval to purchase office and building supplies.
- Plan, execute and support OFNHP hosted events.
- Responsible stewardship of OFNHP member funds.
- Special Projects as assigned.
- Travel as needed for work assignments.
QUALIFICATIONS
Union or corporate administrative experience required OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position.
Knowledge of:
- MS Office, including Word, Excel and PowerPoint at an advanced level.

- Excellent verbal and written communication skills. Strong interpersonal skills and ability to cultivate and maintain relationships.

- Work in a fast-paced complex environment and able to be innovative and creative in work responsibilities.
