Regional Office Manager (Region 5)

POSITION SUMMARY
Responsible for general office manager functions in support of the Regional office and Regional Council. The Regional Office Manager position(s) are funded via the regional dues via the common fund. Continuation of the position(s) is contingent upon continued funding at the discretion of the Region on an annual basis. This is an 18 hour/week position with a salary range of $19,342 – $41,468.

ACCOUNTABLILITY:
Reports to the MNA Executive Assistant/Operations Manager.

RESPONSIBILITIES

  • The office manager provides services and support to the Region’s membership through its Regional Council.
  • Works in collaboration with the Region Organizer as applicable.
  • Communicates in writing, computer, telephone and through personal contact with individuals and groups.
  • Organizes own workload and establishes priorities. 
  • Responsible for answering phone, checking voicemail and email messages, responding to questions and making appropriate referrals.
  • Maintains and updates records, files, manuals and recommends changes and/or areas for improvement of the work of the Region/Regional office.
  • Key operator in the proper use and maintenance of all office equipment. Addresses maintenance needs with MNA Executive Assistant/Operations Manager in a timely and efficient manner.
  • Works with MNA Executive Assistant/Operations Manager in obtaining any contracts and service bids in accordance with policy.
  • Assumes proper appearance of office for Regional member use.
  • Attends all Regional Council meetings, takes minutes and follows up on related activities as needed.
  • Prepares material for annual meetings, committee meetings, programs, and newsletters.
  • Attends MNA staff meetings and events as required.
  • Hold and accounts for petty cash fund.
  • Acts as a liaison for building management – relates any/all relevant information to MNA Executive Assistant/Operations Manager.
  • Maintains financial records in accordance with accounting and auditing standards as directed by the Director of Finance of the MNA.
  • Performs other duties and functions as required by the Regional Council through its Chair or designee.

QUALIFICATIONS

  1. High school diploma required.
  2. Proficiency in Microsoft Word. Additional computer proficiency desirable (i.e. graphics, Excel).
  3. Spelling and grammar competencies.
  4. Must be able to function with minimal direction.
  5. Previous experience in membership organization – particularly labor desirable.
  6. Able to travel, on occasion as work duties require.

OTHER

  • Annual evaluation by Regional Chair, Regional Council, and MNA Executive Assistant/Operations Manager.
  • This position is a union position.
  • 18 hours per week. Hours on daily basis defined in collaboration with Region taking into consideration various meetings scheduled at irregular hours.
