TITLE: Administrative Assistant

The position is in Landover, Maryland.

Position Purpose: The Administrative Assistant will be responsible for activities directly related to the director and staff they are supporting. This position will interact with everyone on staff, union members, potential union members, and labor & political allies.

DUTIES & RESPONSIBILITIES
Administrative Assistants are accountable to their assigned Directors, Representatives, Organizers and Members for the following: 

  • Provides administrative support to ensure efficient office operations.
  • Maintains physical and digital filing systems.
  • Answer phone calls and directs callers to appropriate personnel, schedules appointments, assists members and guests as needed.
  • Responds to emails and other digital queries and correspondence.
  • Assists directors as needed with their calendars, including making travel arrangements.
  • Drafts and edits letters, reports, and other documents.
  • Inputs and updates information in databases and spreadsheets.
  • Prepares meeting agendas and takes meeting minutes.
  • Coordinates logistics for meetings, including room setup and catering.
  • Uses word processing and presentation software to create and edit documents.
  • Has knowledge of office equipment, including printers, copiers, and fax machines.
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Presents a positive and professional image for the organization.

Requirements:
Working conditions consist of a normal office environment. A working knowledge of Microsoft Word, Excel, and Adobe is required. The core work hours are 8:30 am to 4:30 pm, sitting at a computer workstation for an extended period and potentially lifting to 20 pounds. Employees must recognize working in the labor movement is tough, demanding work, which sometimes requires working long or irregular hours, including some evenings and weekends. Limited travel may be required.

Classification: This is a full time, FLSA exempt position
