Administrative Assistant to the Director of Labor Relations

Job Title: Administrative Assistant to the Director of Labor Relations
Reports to: Director of Labor Relations
Job Purpose:
Provide assistance to the Director of Labor Relations, keeping imperative time sensitive deadlines and give proactive support to ensure the Labor Relations Department runs smoothly. Job duties include, but are not limited to:
Grievance/NLRB Case Files
- Monitor deadlines and coordinate appeals, updates and withdraws for grievances received at the national office, based on decisions rendered by the Director and General Counsel.
- Coordinate the area arbitration hearing dates calendar, analyzing General Counsel and Regional Representatives schedule.
- Correspond with USPS Labor Relations Service Center to maintain the grievance hearing date schedule between USPS and NRLCA.
- Inform all parties of any changes or modifications to grievance hearings, via telephone, email and mail.
- Oversee DMS database or Access Database, as well as file records, of all grievances, NLRB charges, lawsuits and Step 3 appeals.
- Update DMS database with award summaries supplied by General Counsel.
- Work closely with General Counsel in reference to all grievances, other unions intervention grievances, NLRB charges and lawsuits.
- Maintain grievance Step 3, Step 4, Area and National Arbitration decisions file systems
- E-file new National Labor Relations Board charges received by NRLCA Union Representatives at all levels, and charges filed by the NRLCA.
- Run grievance progress reports per the Director’s request and supply grievance statistics for the National Convention and State Convention.
General Duties
- Supervise and distribute duties to the Assistant to the Labor Relations Department.
- Review arbitrator invoices for the Director of Labor Relations.
- Review Regional Representatives and Labor Analyst’s monthly expense vouchers for the Director of Labor Relations.
- Prepare outgoing correspondence for the Director of Labor Relations.
- Handle all in-coming calls for the Director of Labor Relations.
- Troubleshoot DMS database grievance user issues and maintain the DMS database with any document template updates.
- Contact IT team for corrections or changes required for the DMS database.
- Maintain the Labor Relations Department research files.
- Supervise temporary personnel as needed.
- Back up the Steward Operations Department as needed.
- Perform other duties as assigned.
Skills/Qualifications
- Proficient in CRM software
- Proficient in Microsoft Outlook, Access, Microsoft Word, Excel, Power Point and Adobe Acrobat Pro.
- Typing WPM (70)
- Excellent oral and written skills.
- Able to supervise the Labor Relations Department Assistant.
- Able to work independently or as a team
- Able to prioritize tasks and meet required deadlines.
Education and Experience:
- High school diploma required, bachelor’s degree in business administration or related field preferred.
- Strong work tenure with at least 5 years of supporting executives.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 50 pounds at times.
Compensation & Benefits:
Starting salary is $70,551 with annual and bi-annual increases accordingly to salary scale. This position is a full-time (40-hour work week) non-exempt position; 100% in the office, Monday – Friday. Benefits include health insurance, 401-K(matching), vacation and sick days, Flexible spending account, employer paid dental, vision, and life insurance.
