Council Description
The WEA Olympic Council office is located on the scenic Kitsap Peninsula. Living in Kitsap County provides opportunities that are hard to match elsewhere in our state – proximity to outdoor activities in the Olympic Peninsula and Puget Sound – and small, unique communities known for local eateries, shopping, and the arts.

The Council covers a large geographic area; from 25 miles southwest of Shelton to Neah Bay, and from the Puget Sound to the Pacific Coast. WEA Olympic represents 34 locals: 1 Community College, 11 K-12 ESP, and 22 K-12 EA units ranging in size from 8-750 members. Overall membership stands at approximately 5,000 members. The locals are comprised of committed and caring members and are led by engaged leaders willing to work in solidarity with each other and the Council.

Our Council team consists of four UniServ Directors, two Field Assistants, and the Council President. We have a strong collaborative culture in our Council and are excited to find a candidate who is looking to become an integral part of our team!

Job Summary
The Field Assistant II performs clerical and administrative support for the Council, and assists with field organizing plans and activities, in coordination with Governance and Council Staff, that build power for the WEA.

Responsibilities:

  • Compile and maintain various databases and working files.
  • Produce reports and materials from computer records and documents.
  • Maintain and regularly update the Council web page.
  • Maintain Council calendars: building, office staff, governance, and region.
  • Maintain and regularly update Local officers and Council delegates’ contact information.
  • Produce and maintain all collective bargaining agreements – electronic and paper versions.
  • Prepare and coordinate bulk mailings and printings.
  • Produce and distribute publications, including Council newsletters and voters’ guides.
  • Prepare Council communications – email, mail, weekly Local leaders’ newsletter, and other mass e-mail communications.
  • Prepare membership packets and member communications.
  • Filing duties.
  • Attend Council events and meetings when necessary.
  • Assist with coordinating, scheduling, and registration for meetings, conferences, and/or events.
  • First point of contact for questions.
  • Produce, maintain, and/or distribute documents, reports, meeting minutes, elections, and other event materials.
  • Create and manage events – electronically, using internal software.
  • Produce and distribute event flyers, invitations, meeting notices, and reminders using a variety of electronic methods.
  • Track RSVPs.
  • Order catering.
  • Assist with set up and clean up of rooms.
  • Record clock hours – electronically, using internal software.
  • Send out evaluations and post-training communications.
  • Greet visitors and direct phone calls.
  • Assist members and staff with problems; research questions and provide information and materials when necessary.
  • Assist with maintaining office equipment.
  • Assist with maintaining building inventory.
  • Coordinate building facilities.
  • Some travel and evening meetings required.
  • Work collaboratively as part of a team.
  • Other duties as assigned.

Minimum Qualifications:

  • High school graduate or GED equivalent.
  • Demonstrated success as an administrative professional.
  • Demonstrated history of success working with communities of color or with other historically under-represented groups and/or the ability to understand the relevance and importance of diversity, equity, and inclusion internally and in public education.
  • Proficient at PC compatible programs, i.e., Microsoft Word, Outlook, Excel, and Publisher, including formatting and updating Table of Contents, Index, etc.
  • Experience with database software.
  • Proficient with web page and desktop publishing software.
  • Demonstrated clerical skills including word processing, filing, proofreading, document retrieval, creating spreadsheets, and screening calls.
  • Ability to generate documents and data quickly with a high degree of accuracy.
  • Ability to compose, draft, edit, proof, and produce quality professional correspondence.
  • Ability to learn membership data system (NEA360) requiring strong familiarity with database systems used to track detailed information; ability to generate database reports based on user requests; ability to understand how data is used in the decision-making process.
  • Strong interpersonal skills, including experience in dealing with members.
  • Proven success in building and maintaining cooperative and productive relationships with diverse individuals – internally and externally.
  • Self-starter with demonstrated initiative and flexibility with changing priorities.
  • Well-organized with attention to detail; ability to effectively prioritize work.
  • Ability to keep information confidential.
  • Ability to confront and resolve conflict constructively.
  • Ability to relate in a positive, diplomatic, and patient manner.
  • Must support and help advance the WEA mission, goal, core values, and priorities.
  • Experience with mass communication platforms such as Constant Contact and Salsa.
  • Work in person in the WEA Olympic office in Poulsbo, WA.

Preferred Qualifications:

  • Proven success in collaborating with other staff and managers.
  • High degree of multi-tasking and time management capability.
  • Experience with preparing and disseminating correspondence, memos, and forms.
  • Experience with meeting, conference, and/or event planning.
  • Experience with the use of a variety of electronic communications.
  • Experience in public education, unions, or related employment.

Supervision
The successful incumbent will function as a member of the Advocacy & Organizing Center and will report to the Advocacy and Organizing Field Manager or Director.
