Summary:
Solidarity Center seeks an administrative professional to assist the Regional Program Director for the Americas, the Deputy Director, and department staff with a variety of clerical functions, outlined below. This individual must be able to handle multiple tasks while maintaining accuracy and close attention to detail. The position requires strong organizational and time management skills as well. The Administrative Assistant prepares and exchanges information with other departments, so good communication and interpersonal skills are also important for success.

Qualifications:
The Administrative Assistant must have basic knowledge of issues in Central and South America in order to work effectively with field offices in multiple countries across the region. Previous trade union experience and/or work with non-governmental organizations is helpful but not a prerequisite. Good communications and writing skills are a must. Computer literacy for word processing and simple spreadsheets is required; experience with other programs for tracking tasks and projects is helpful. The Administrative Assistant must have the ability to work and interact easily with a wide variety of people. A bachelor's degree or a minimum of three years pertinent work experience is required. Fluency in Spanish or Portuguese is a plus.

Supervisor: Regional Program Director and Deputy Regional Program Director

Specific Duties:

  • Maintain office calendar and travel and leave schedules;
  • Manage logistics for meetings and conferences and visits from the field; prepare materials and set up conference rooms;
  • Update databases maintained by the office/department
  • Perform basic research including internet searches and locating resource materials, prepare briefing documents;
  • Proofread/edit proposals, reports, letters, and other correspondence;
  • Make travel arrangements for department staff, consultants, and visitors;
  • Prepare check requests, wire transfer requests and travel expense reports;
  • Coordinate activities with other departments and assist as required;
  • Assist in preparation of budgets;
  • Perform clerical tasks such as note taking, transcription, translation, finalization and production of documents, filing, faxing, drafting routine documents and telephone work;
  • Perform other related tasks as assigned by the Director or Deputy Director

This is a collective bargaining unit position, generously compensated with a gross annual salary starting at approximately $64,301 USD based on experience.
