Membership and Dues Coordinator

Pacific Media Workers Guild Local 39521 of The News Guild-Communications Workers of America. We represent more than 1,000 journalists, media and publishing workers, nonprofit employees, union staff, and freelancers.

Position Summary:
The Pacific Media Workers Guild is seeking a Full Time Membership/Dues Coordinator. An ideal candidate is experienced and well organized with the ability to manage a diverse set of clerical and support functions and projects.

The Membership/ Dues Coordinator will assist the executive officer in the “program management” duties of the Local, including support and coordination of members, record keeping, strategic mobilization initiatives, and membership development. The Membership/Dues Coordinator works closely with PMWG Organizers and Pension Administrator.

Essential Job Functions:

  • New Member Onboarding. Welcome new members to the Local in coordination with unit leaders and organizers. Host informational calls and send new member welcome materials upon hire. Track outreach and work in coordination with the organizing team to build a culture of mobilization and solidarity.
  • Process membership applications & dues checkoff authorizations, update internal databases, and notify the employer to begin dues checkoff. Process receipt of initiation fee and/or dues. Keep a running list of all new members for Local approval monthly.
  • Reception Duties. Answer, route, and respond to calls/ messages. Coordinate with janitorial staff and building manager to maintain office space and common areas of the building.
  • Receive and process incoming and outgoing mail, faxes, and deliveries/packages, including large mailings.
  • Compose, edit, and format documents, files, and spreadsheets, and maintain as needed.
  • Process employer reports and monitor contract compliance, i.e. manage information re: new hires, terminations, status changes, salary/classification changes & address changes. This entails posting all info in the database and in some cases to a spreadsheet as well.
  • Process monthly per capita spreadsheets for all units. Work with Office Manager on per capita billing. .
  • Process payments via ACH, Paypal and Checks. Transfer payments as needed
  • Assist Pension Manager with various tasks. Communicate with the bank/actuaries regarding members status, address, and bank deposit changes.
  • Other duties as assigned including work on special projects or tasks as assigned by the Executive Officer. When resources allow, there will likely be opportunity for this position to grow and develop based on the interests of the finalist and needs of the Local. Ideal Qualifications/Skills:

  • At least two (2) years of clerical and/or operations work
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Follow and understand oral and written instructions
  • Excellent communication and interpersonal skills
  • Proficient utilizing Microsoft Office Suite applications, Google Suite, and Quickbooks is a plus.
  • Accurate proofreading and grammar skills
  • Familiarity with collective bargaining agreements and labor/management dynamics
  • Ability to operate and troubleshoot standard office equipment and machines (laptop/desktop (Apple systems), copier and fax machines, security and camera systems)
  • Ability to work effectively under pressure, problem solve and be solution oriented
  • Flexible attitude in handling multiple priorities and adopting new systems and processes

Physical Demands:

  • Ability to sit for up to two (2) hours at a time
  • Ability to stand for up to two (2) hours at a time
  • Able to bend, stoop, lift and move at least twenty (20) pounds

SALARY: Commensurate with experience, not lower than $70,000.

HOURS:

  • Work Week 37.5 hours, 7.5 hour days.
  • Off-hour and weekend work may be required from time to time.

Salary/Benefits/Location:
Healthcare is covered for the individual employee under an 80/20 percent split, the employer pays 80. Medical coverage is through Kaiser. Vision and dental are through Co-Power (Delta Dental).

401(k) the local currently provides an employer match of your contributions, up to 7 percent of salary. The Local also is a participating employer in a defined-benefit pension plan administered by The NewsGuild, and we make contributions to this plan as required for all participating employees.

Vacation is accrued based on time worked, starting with 15 days per year.

This position is covered by a collective bargaining agreement; represented by OPEIU Local 29.

WORK ENVIRONMENT:
This is a hybrid position that will be based out of San Francisco.

*Please note: new hires will be asked to be in-office at least 3 days a week during transition, days in office could likely be reduced as training progresses.

EQUIPMENT:
Any equipment needed to perform your job duties, subject to approval of the Local, will be provided to you.

HOLIDAY OFFICE CLOSURE:
Fourteen paid holidays. Additionally when possible, the Local tries to minimize work between Christmas and New Year’s Day. This is subject to change based on current needs (campaigns, elections, etc.) but typically you may take vacation during this period if you choose. If you would rather not take vacation, a coverage plan will be developed in coordination with the Executive Officer.
