The Association for Los Angeles Deputy Sheriffs (ALADS) is seeking to fill the position of Executive Assistant

Salary Range: $6,298 - $7,802 Monthly

DEFINITION:
Under general direction, provides full-time confidential and personal administrative assistance to members of the Board of Directors and/or Executive staff; performs a wide variety of analytical work requiring specialized knowledge of the Association, advanced office procedures, the ability to conduct research, the ability to implement process enhancements; shows initiative in taking action and responding appropriately; communicates effectively orally and in writing; works cooperatively with staff; and performs other duties as assigned.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

  • Performs a variety of highly advanced secretarial/executive assistant responsibilities.
  • Uses appropriate judgment when responding to the needs of the Board of Directors and/or Executive staff.
  • Coordinates major Association program efforts including, but not limited to, Board meetings, Unit Representative meetings, budget preparation and analysis, social events, negotiations, personnel administration, and Coalition of County Unions.
  • Maintains liaison with high-level representatives of external contractors, government agencies, unions, and/or other organizations.
  • Schedules and maintains Board of Directors calendars in Microsoft Outlook.
  • Prepares reports to Board of Directors and/or Executive staff where the consequence of error is moderate to low, on a wide variety of matters including, but not limited to, calendaring, budget, finance, personnel, general work activity, and special events.
  • Assists in planning, coordinating, and conducting various major Association projects, events, and/or activities with predetermined restrictions, including budget, time and/or other logistics arrangements.
  • Replies to personal and other correspondence, composing letters with or without dictation.
  • Types letters, memoranda, reports or other material from marginal notes, rough drafts, dictation or verbal instructions, including correct grammar, spelling, and punctuation.
  • Develops and maintains various Association business files and maintains appropriate records.
  • Screens visitors and phone calls, meets the public, makes appointments, and arranges conferences and personal engagements.
  • Reviews documents for accuracy and completeness.
  • Identifies and coordinates resolution of inquiries and problems.
  • Gathers information, conducts surveys, and performs other limited research as required.
  • Coordinates the completion of team projects in an efficient and timely manner.
  • Coordinates reservations and travel arrangements with the Board and staff members.
  • Secures information on the status of pending time-sensitive matters.
  • Responds to initial questions from members, including, but not limited to MOU provisions, and/or employment-related concerns.
  • Maintains office files and records, including those of a confidential nature.
  • Maintains updated list of Unit Representatives.
  • Maintains written procedures for required duties and responsibilities.
  • Attends meetings and takes and transcribes minutes.
  • Performs other duties as required.

Position Requirements:

  • Strong ability to communicate verbally and in writing using advanced English skills including grammar, sentence structure, and original composition.
  • Ability to anticipate problems, problem-solve, and know when to escalate issues promptly.
  • Excellent organization skills, detail-oriented and ability to prioritize.
  • Ability to work independently.
  • Strong working knowledge and proficiency with PC business tools, including Excel, Outlook, Teams, and PowerPoint. Advanced knowledge of Microsoft Word is required with a minimum typing speed of 65 wpm.

DESIRABLE EMPLOYMENT STANDARDS:
Graduation from an accredited college or university with a Bachelor of Arts degree in public administration, business administration, or closely related discipline and three (3) years of progressively responsible experience in advanced administrative staff work; or graduation from a community college with an Associate of Arts degree and five (5) years of progressively responsible experience performing advanced administrative staff work; or eight (8) years of progressively responsible experience performing advanced administrative staff work.

Strong working knowledge and proficiency with PC business tools, including Excel, Outlook, Teams, and PowerPoint. Advanced knowledge of Microsoft Word is required with a minimum typing speed of 65 wpm.

NECESSARY SPECIAL REQUIREMENTS:
Incumbent must have valid California Driver’s License, proof of car insurance, and dependable vehicle available to work each business day.
