Position Description:
The Senior Payroll Assistant performs clerical and accounting detail for the Accounting Department as it relates to payroll processing at the International.

Duties and Responsibilities:

  • Process the biweekly and monthly U.S. payrolls and monthly annuitant payroll and prepares pay checks for distribution.
  • Process off cycle payroll checks and wire transfers.
  • Process related payroll tax, benefit and deduction filings and reporting.
  • Prepares payroll-related disbursement memos, journal entries and check request forms.
  • Prepares various tax returns and reports.
  • Back-up the Canadian biweekly and monthly payrolls.
  • Handles payroll inquiries, analysis, and necessary correspondence.
  • Forward and reconcile voluntary payroll deductions.
  • Prepares various payroll-related reports.
  • Maintain payroll files and store records as needed.
  • Maintain confidentially of UFCW records and financial information.
  • Prepares W-2 for distribution, including appropriate reconciliation to general ledger and complete other year-end functions, including year-end adjustment payrolls.
  • Prepares salary verifications.
  • Prepare W-2 for distribution, including appropriate reconciliation to general ledger and complete other year- end functions.    
  • Prepare salary verifications.
  • Process monthly inter-fund transfers for Dependent Care and Health Care funds.
  • Process tax rate changes and updates in ADP.
  • Prepares monthly Building Engineers report.
  • Prepares Chemical Workers monthly grant report. Prepares Chemical Workers quarterly report.

Qualifications:

  • Associate degree in Accounting or three to five years comparable payroll experience required. Experience in multi-state payroll processing; strong knowledge of federal, state and Canadian payroll tax laws to ensure compliance with various regulations.  Knowledge of the proper tax treatment of various earnings, taxable benefits, and pre and post-tax deductions. Familiarity with a computerized payroll system.
  • Input ability of 35 words per minute.
  • Ability to navigate through database systems, software and report writing packages in order to retrieve, update and verify information.
  • Proficiency in the use of a calculator and other standard office machines. Spreadsheet experience highly desirable.
  • Ability to comprehend rules, policies, and procedures, and the ability to communicate effectively with other departments, vendors and field staff.
  • Excellent analytical and mathematical ability.
