POSITION TITLE: Executive Administrative Assistant

SALARY RANGE: $30.01 – $33.34 per hour

Machinist Union District 160, headquartered in Seattle Washington, is seeking proficient Executive Administrative Assistant.

We are currently looking for an exceptional Executive Administrative Assistant to join our team. The ideal candidate will be an organized, self-motivated and bright professional with at least five years administrative support experience, two in an executive level position. Prior office experience/education may be substituted for the required experience, or any combination of experience, training and education that provides the required knowledge, skills, and abilities.


  • Provide support for the Director, Assistant Director and Business Staff to ensure efficient operation of the office
  • Ability to work independently with limited supervision, make decisions in accordance with company policies, and work effectively with the Management, staff, and visitors.
  • Proofreading and coordination of quarterly publication
  • Process, draft, proof, edit and distribute letters for team members as needed via email or postal mail; prepare correspondence, compile data and provide assistance to Business staff as required
  • Properly execute the processing, filing and distribution of contracts
  • Maintain open dialog with maintenance personnel for building repairs/needs; Maintain general office functions, including office supply inventory and ordering, performing regular office rounds to ensure office machines are in order
  • Prepare and distribute monthly meeting minutes. Must be proficient with a personal computer using appropriate software packages to include word processing and spreadsheet generation.
  • Generate and distribute reports as needed. Maintain appropriate records, files and documentation.
  • Maintain complete confidentiality. Always project professionalism in appearance, demeanor, and reliability.
  • Collaborate with District staff to produce internal/external communications.
  • Assist with management of District social media platforms.


  • Knowledge of office practices and procedures, filing and recordkeeping techniques; knowledge of the capabilities of the various office machines; working knowledge of Microsoft office applications
  • Knowledge or willingness and ability to learn the operation of mass communication platform(s) such as Constant Contact, Mail Chimp, or similar systems
  • Proficient in the use and management of social media applications such as Facebook, Instagram, and Twitter. Experience managing professional social media accounts is highly desired.
  • Ability/willingness to bring a confident, courteous and professional image using tact and good judgement; ability to interact positively with other employees and visitors
  • Accounting/bookkeeping experience helpful, but not required
  • Maintain internal communication to include prioritizing workload to meet deadlines; skilled at multi-tasking to meet the needs of many team members
  • Ability to work independently with limited supervision
  • Exceptional organization skills and attention to detail
  • Strong written, verbal and interpersonal communication skills
  • Positive, self-assured attitude
