Contract Administration Assistant

Based in Albany, NY


The NYS Public Employees Federation (PEF) is a labor union representing around 53,000 professional, scientific and technical workers in NYS government. Members include healthcare, education, corrections and supervision, youth services, direct care, and other professional titles.

Under the general direction of the Director of Contract Administration, this individual will assist the professional staff of the Contract Administration unit on issues concerning the administration and negotiation of the collective bargaining agreements for the various units represented by PEF, including the PEF/State contract.


  1. Researches and maintains files. Contacts the appropriate members and field staff when a request for information on an issue or activity has been made of Contract Administration. Drafts responses as necessary.
  2. Tracks contract issues for distribution of information to PEF leadership and staff.
  3. Provides administrative support for PEF/State negotiating team, recording and transcribing minutes and maintaining records.
  4. Maintains central files on disciplinary charges under Article 33 and prepares monthly report to field staff.
  5. Maintains central files of contract grievances and arbitrations.
  6. Reviews all bills for arbitrations, verifies accuracy and forwards to Accounting for payment.
  7. Prepares and coordinates the distribution of large scale mailings and projects.
  8. Assists Labor/Management Chairs and committee members with the review and editing of communications to members.
  9. Maintains current information on composition of Labor/Management committee.
  10. Assists Contract Administration staff with their duties, and performs other clerical duties as assigned.
  11. Consistent and reliable attendance.


  • Three years experience (minimum), as secretary/administrative assistant;
  • Graduate of Business College, or equivalent.

Successful candidate must demonstrate:

  • Proficient in Microsoft Office;
  • Ability to effectively communicate (both written and verbal) with staff, members, attorneys, and health insurance carriers;
  • Thorough knowledge of general office practices and procedures;
  • Strong organizational skills including time management and attention to detail;
  • Ability to work independently and in a team environment.

Salary and Benefits:
The salary range for this position is $48,408.00 - $54,398.00 (based on experience).
