Human Resources Generalist

RESPONSIBILITY:

  • Support recruiting function with recruiting process that includes scheduling interviews, reserving conference rooms, gathering, and preparing documents.
  • Create and maintain job postings on external job board websites.
  • Researching and developing online HR database.    
  • Draft and distribute employment-related correspondence, e.g., applications, forms, offer letters.
  • Prepare DMV checks before offer letter is written, work with director on outcome.
  • Coordinates access and tracking and monitoring for contractors, temps, and seasonal hires.
  • Prepares new hire orientation packages.
  • Conduct new hire orientations and act as go between for new employee and departments to answer questions.
  • Coordinates all new hire paperwork and ongoing paperwork ensuring completeness as well as accurate and timely processing.
  • Attend and assist in contract negotiations with represented staff.
  • Prepare, edit, and/or maintain proposals for contract negotiations with represented staff.
  • Prepare and maintain notes and/or minutes from contract negotiations with represented staff.
  • Prepares, edits, and maintains disciplinary notices and grievance responses.
  • Coordinates access and tracking for contractors, temps, and seasonal hires. Assists with and/or conducts employee orientation process.
  • Ensure that on-boarding process is coordinated with hiring manager and network services.
  • Conducts and aggregates information from exit interviews and handles other outgoing employee processing.
  • Tracks Sexual Harassment database – schedules classes and makes sure people have been trained in sexual harassment.
    • Keeps log of newly hired manages to get trained in sexual harassment within 6 months of hire.
  • Works with workroom to make sure policy manual is copied and has adequate supply of policy manuals.
  • Keeps Policy Manual and other union documents up to date.
  • Works with Finance to make sure benefit documents are current and have not had any changes. If changes are identified, then HR generalist will draft and distribute information to staff.
  • Creates and maintains confidential database on staff ages and tracks retiree benefits, costs and potential employees who may retire.
  • Manages and screens applicants for positions.
  • Prepares and sends correspondence to applicants.
  • Process I-9s and related personnel information in an accurate and timely fashion to ensure compliance with state and federal regulations.
  • Onboard lost timers/member organizers.
  • Responsible for the accurate input of HR-related information/data related to new-hires, terminations, job changes, etc.
  • Prepare and execute exit packages for terminations.
  • Prepare attendance forms on field staff absences monthly.
  • Assist in administering Workman's Comp Insurance policy and facilitate employee injury claims and submits forms to Finance.
    • Set up of claim files for injured workers.
    • Schedule medical appointments and obtain reports for workers comp.
  • Maintain car insurance database and alert staff to turn in car insurance.
  • Assists Finance on COBRA notifications.
  • Coordinates brown bag lunch time meetings for health/wellness seminars and programs, open enrollment, Benny card and 401k sessions. Creates promotional materials to communicate current events.
  • Creates and maintains records, reports, and logs pertaining to staff training activities, career path, related costs, etc.
  • Administers tests for Internal Organizer and admin staff.
  • Act as liaison between employees and benefits/payroll department for questions, issues, and update
  • Perform various administrative duties that support the recruitment function.
  • Provides guidance to identify, train, and develop staff for leadership roles.
  • Other duties as assigned.

JOB DEMANDS:
Salaried position, long and irregular hours, frequent travel, and overnight stays; occasional participation in local conventions/events that require travel and overnight stays; must have a valid California driver’s license and a vehicle.

REQUIREMENTS:
Demonstrated commitment to the mission and values of SEIU Local 521. Must possess a valid California driver’s license; must pass a DMV check and have a good driving record; must have auto insurance that covers business driving (minimum of $100,000 per person/$300,000 per incident bodily injury liability/$100,000 property coverage); and must possess an automobile for business use.

Salary commensurate with experience.
