Administrative Assistant
Ad Astra UniServ District and Support for Select Statewide Programs

Based in Topeka, KS


This position requires experience with and extensive knowledge of the capabilities and features of various computer programs and software including, but not limited to Microsoft Windows Suite. In addition, the position will require learning and using the National Education Association’s (NEA) NEA360 membership system. The ability and willingness to work in a challenging and ever-changing environment are necessary to be successful.

The Administrative Assistant will, in addition to the duties specific to the position:

  • Work as a team member with all other staff.
  • Understand and support the mission of Kansas National Education Association (KNEA).
  • Maintain confidentiality of information.
  • Perform general secretarial duties, with minimum supervision and direction - document preparation, answering the phone, handling correspondence, maintaining office equipment, and participating in meetings and activities.
  • Possess and maintain a valid Kansas driver’s license.
  • Be able to attend meetings on weekends (four/five per year, throughout Kansas) and evenings, as needed.

Specific Duties Include:


  • Maintain/update records, constitution and bylaws, and contact information for members, officers, and Administrative Board members.
  • Communicate with officers and board members.
  • Communicate with KNEA regarding activities and information.
  • Assist with member communication, scheduling/calendar; create and maintain appropriate files and documents; planning materials/events, etc.
  • Work with local treasurers and presidents to train accurate membership processing in NEA360.

Student Program

  • Prepare and facilitate the planning and staging of the Fall Leadership Conference, Administrative Board Meeting, and Student Representative Assembly.
  • Prepare electronic ballots for the student officers and delegate election.

NEA Member Benefits and Access Program

  • Preparation and mailing of all Access information, cards, and materials to members/UniServs.
  • Assist in answering member questions regarding the NEA Member Benefits and Access Membership Program.


  • Prepare and facilitate the planning and staging of the REACH (Emerging Leader) program throughout Kansas.
  • Coordinate and work with Administrative Assistants in Topeka to schedule meetings.
