Administrative Assistant

Based in Braintree, MA


Job Title: Administrative Assistant
Grade: 6
Salary Range: $45,407 – $48,589
Location: Braintree, MA
Hours: 9:00AM – 5:00PM
Bargaining Unit: United Staff Worker Union (USWU)

The Administrative Assistant reports to the Director of Finance and Administration and is responsible for assisting with administrative and clerical services. Scanning checks for daily deposits to the bank. This includes attending to the needs of Local 888 members, and staff, while also dealing with inquiries on the phone and face to face in the union hall. Providing these services in an effective and efficient and friendly manner will ensure that inquiries are dealt within established time limits


Maintain office services

  • Performs receptionist duties, answer phones and manage main line voice mail system
  • Oversees all incoming and outgoing correspondence and distribution
  • Assist with the maintenance of office equipment
  • Prepare and distribute business cards for staff

Maintain office records

  • Ensure admin department filing systems are up to date
  • Ensure security and confidentiality of data
  • Assist with letters and mailings for Internal Organizing

Maintain office

  • Maintain a clean and professional environment for members, staff and visitors
  • Schedule and prepare conference rooms for meetings
  • Update and secure sign in sheets
  • Assist with setting up for executive boards meetings, in the absence of the membership coordinator

Perform other related duties as required


  • An administrative degree or equivalent or a high school diploma with a number of years’ administrative experience
  • Computer skills and knowledge of office software packages (MS Word, MS Excel and MS Access)
  • Knowledge of administrative and clerical procedures
  • Knowledge of customer service principles and practices
