Administrative Assistant

Based in Princeton, NJ
(currently REMOTE)


The Independent Association of Publishers’ Employees (IAPE TNG-CWA Local 1096), a labor union representing more than 1,300 employees of Dow Jones & Company, is seeking a part-time Assistant to the Executive Director and President to manage administrative duties in our Princeton, NJ, office.

We are looking for someone with excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, prioritize and problem solve.

Salary: $22-$25 per hour DOE; 25-30 hours per week

Benefits: The position provides for a small stipend for health insurance

Duties and Responsibilities:

  • Manage main union email inbox (i.e. sending email blasts; redirecting inquiries, answering simple questions, escalating member queries/questions)
  • Maintain member database, assist with regular internal reports
  • Help with monthly dues processing
  • Oversee distribution of regular union communications
  • Process new member applications
  • Help maintain and update website
  • Coordinate communications for new member outreach
  • Help manage local’s calendar/event schedule
  • Help coordinate training program & events for members
  • Assist with expense tracking, reimbursements
  • Continue with steward survey and ongoing communication with stewards
  • Assist with member communications
  • Assist the Executive Director and/or President with any ongoing projects
  • Attend regular staff meetings

Required Skills, Abilities and Experience:

  • Strong computer skills and experience with electronic record management (especially GSuite, spreadsheets, database/CRM)
  • Proficiency using the internet, search engines, and social media sites
  • Experience working with a database and managing spreadsheets (Excel and Google Sheets)
  • Experience composing grammatically correct correspondence, and editing drafts to correct grammar, spelling and punctuation
  • Experience tracking bills and invoices
  • Familiarity with QuickBooks
  • Excellent organizational skills
  • Ability to communicate and relate respectfully with a diverse membership and staff
  • Commitment to provide accurate, efficient and friendly service to staff and members
  • Ability to exercise strong problem solving skills
  • Ability to multi-task and must work well under pressure
  • Able to prioritize and complete workload
  • Excellent punctuality and attendance
  • Helpful but not required: previous work experience with a labor union or non profit
