What We’re Looking For:
The Washington Federation of State Employees (WFSE) is recruiting to fill an Administrative Assistant position located in Olympia, WA. Working at WFSE Headquarters and reporting to the Director of Advocacy, this position provides daily operational support to a team of Labor Advocates and ensures they have the resources necessary to represent our members in all aspects of negotiations and the grievance process. This position handles all levels of confidential information and is responsible for the creation, tracking, and closure of files.

Additional duties include:

  • Coordination of logistics between state agencies and WFSE for master agreement bargaining.
  • Compose and send meeting notices and release letters as requested.
  • Set-up and coordinate elections and ratifications as needed to include: UMC teams, negotiations teams, MOU and CBA ratifications, and other as required.
  • Records contract proposals, track temporarily agreed articles for each contract, and coordinate the printing of contracts.
  • Maintain copies of all negotiations documents and data.
  • Track deadlines for contract ratification per bargaining structure.
  • Prepare, send, and schedule Demand to Bargain requests on behalf of the Advocacy team.
  • Manage file systems and the archiving process.

Required Qualifications:

  • Five (5) years of progressively responsible experience in office/clerical, secretarial or general administrative work.
  • Knowledge and experience working with various office equipment, Microsoft Office Suite, business management practices, and research methods.
  • Highly organized and capable of juggling multiple projects simultaneously with competing deadlines.
  • Strong oral and written communication skills.
  • Proficiency in Microsoft Office Suite and related applications.
  • Strong analytical skills using various databases to collect and interpret data.
  • Detail oriented and able to work in a fast-paced environment.

Desirable Qualifications:

  • Understanding of basic labor organizing and negotiation principles, and working experience in a Labor Union.
  • Experience working with multiple collective bargaining agreements.
  • Experience using Labor Power.

Special Note:
This position is overtime eligible and may be required to work some weekends. Some travel may be required. Benefits include annual and sick leave, cell phone allowance, medical/dental, life, and long term disability insurance, and holidays. Salary range is $49,100 to $56,839 and will be determined commensurate with experience.
