Legal Secretary
Legal Department

Annual Pay: $54,550.83/YR

Purpose:
The position is responsible for assisting in the administrative operations of the Legal Department and for providing secretarial support for legal department attorneys and for department activities.

Primary Responsibilities: (Any one position may not include all of the specific duties and responsibilities listed. Examples provide a general summary of the work required and should not be treated as a total and complete list of expected duties to be performed by employees in the classification.)

  • Performs routine office procedures including responding to telephone requests that have standard answers; refers callers to appropriate staff as necessary; opens, date stamps, sorts, and distributes mail; and sends standard replies.
  • Maintains attorney calendars and appointments and assists in organizing meetings and conferences with and for attorneys.
  • Arranges for attorney travel, prepares and submits attorney expense reports, and assists attorneys with organizing and maintaining files and records, both electronic and hard copy.
  • Arranges training sessions, including in person trainings, teleconferences, and webinars, conducted by SEIU attorneys for SEIU staff.
  • Composes correspondence regarding administrative functions and/or which require technical knowledge of department activities.
  • Maintains litigation files and dockets, maintains litigation hold records, and assists lawyers in preparing legal filings.
  • Interprets and adapts guidelines to specific situations.
  • Proofs, and edits work and materials for quality control.
  • Performs other duties as required to support the department and its mission.

Direction and Decision Making:

  • This position reports to the Executive Secretary/Administrative Supervisor, and takes direction from several Associate General Counsels.

Education and Experience:

  • Graduation from an accredited college or university with a bachelor's degree and/or three (3) or more years of legal experience.

Equivalency:
Graduation from an accredited college or university with an associate's degree and/or five (5) years of secretarial experience in a legal setting.

Or, a combination of education and experience that would provide for the following knowledge, skills and abilities:

  • Knowledge of legal processes and procedures.
  • Knowledge of the correct uses of grammar, spelling and punctuation.
  • Knowledge of administrative office functions.
  • Ability to create and maintain litigation and other legal office files.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to make independent decisions that are consistent with department procedures.
  • Ability to type 55 wpm.
  • Skill in the use of personal computers using word processing, database software or other SEIU software including Google programs including Google Docs, Drives and Calendar, Microsoft Office Suite, Word Intermediate, Excel Intermediate, PowerPoint Intermediate, and the internet including lexis/nexis.

Physical Requirements:

  • Work is generally performed in an office setting. Some overtime may be required.

Testing:

  • Word – Intermediate
  • Excel – Intermediate
  • PowerPoint – Intermediate
  • Typing – 55 wpm

Probationary Period:

  • 16 weeks
