Secretary/ Receptionist

Based in San Jose, CA

This is a posting for Secretary/ Receptionist in San Jose, CA pursuant to the BSSU Contract. Position requires fluency in English and Spanish.

The Service Employees International Union (SEIU) is our country’s fastest growing labor union with more than 2 million members. The United Service Workers West (USWW) is comprised of 45,000 property service workers from San Diego to Sacramento. Our union brings together janitors, security officers, residential, stadium, arena and airport workers. These workers are the heart of our union and through their activism the hope for a more progressive California.


  • Effectively Answer a large volume of calls
  • Front desk, make copies reproduce materials for distribution and mailing.
  • Responsible for opening and closing the office.
  • Greet all person when entering the office
  • Receive and announce visitors and guests in a prompt and professional manner. Coordinate follow through to ensure members and guests are met promptly.
  • Listen to member requests and needs to determine the most efficient service and department for service.
  • Answer general questions to membership
  • Responsible for maintaining all office equipment
  • Maintain office and keep organized, straighten out all conference rooms, mail room and copy room.
  • Set up Video Conferencing for meetings
  • Assist with any special projects
  • Keep track of supplies inventory and order office supplies
  • Data entry, manage and maintain office database and filing system as required on a daily basis.
  • Cope Tracking
  • Intake Forms – must be looked at and made sure all areas are filled out by member. Distribute intake to the proper organizer/ coordinator.
  • Ability to effectively communicate bilingually to our membership and Staff in English and Spanish.
  • May be required to perform clerical tasks to support the management team.
  • Sign, receive and distribute packages on behalf of USWW.
  • Distribute mail and all faxes
  • Will support and assist the Executive Assistant as needed.


  • Be able to Multi Task
  • Experience and knowledge of computer programs is a plus (including Microsoft office and publisher)
  • Must be Bilingual English/Spanish
