Administrative Manager
Organizing Department

Based in New York City, NY

SEIU 32BJ represents 175,000 property service workers across twelve states and Washington, DC. The Union has an aggressive organizing program aimed at raising standards for airport workers, cleaners, security officers, residential maintenance workers and institutional food service workers across our jurisdiction. We currently seek an Administrative Manager.

The Administrative Manager supports the management and staff of the Organizing Department, including coordination of work across districts. S/He reports directly to the Organizing Operations and Recruitment Director and is based in our New York office.

Responsibilities Include:

  • Supervise and manage a staff of 3 to 5, including a data entry team; perform annual staff evaluations;
  • Manage Director of Organizing’s calendar, travel and meeting requests;
  • Coordinate with IT and Facilities on equipment and space needs;
  • Responsible for developing and implementing office policies, setting up procedures and standards that guide office operations;
  • Review and approve office supply orders, invoices, staff changes, expenses;
  • Maintain strong working relationships with various internal departments;
  • Prepare semi-annual and annual budgets;
  • Support planning for internal and external organizing events/rallies, up to and including onsite event support;
  • Work with accounting to reconcile department spending on a quarterly basis;
  • Coordinate and enforce HR practices and procedures;
  • Other duties as assigned.


  • Experience as office or administrative manager with track record of successfully managing a large, fast-paced office, including supervisory duties and staff management;
  • Ability to adhere to established policies and procedures;
  • Demonstrated ability handling confidential material and information in a professional manner;
  • Knowledge of financial tracking, data and administrative management practices and procedures;
  • Excellent time management skills, including the ability to multi-task and prioritize work;
  • Excellent communications skills – verbal and written – including effective business writing;
  • Proficiency in MS Office, including Word (mail merge), Excel, Outlook and Power Point; ability to learn internal data and workflow systems required;
  • Attention to detail and problem solving skills, including effective troubleshooting, and anticipating and finding solutions to developing problems;
  • Strong organizational and planning skills in a dynamic environment; ability to drive project work under deadlines and across all levels of the organization;
  • Ability to work as part of a team, as well as be a motivated self-starter;
  • Strong interpersonal skills, particularly the ability to work with a diverse audience and treat members/workers with care, friendliness and compassion;
  • Willingness and ability to work outside of core business hours including evenings and weekend as needed;
  • Interest in social justice issues not required but a plus;
  • Fluent written and oral Spanish preferred but not required.
