Billing Clerk

Based in Fairfax, VA

DIVISION: Operations – Billing
PAY RATE: Hourly

The Billing Clerk requires an employee to independently update and maintain Employer and Employee master files. Duties include daily deposit of employer payments, reconciling and balancing employer reports, collection and research functions necessary to efficiently administer employer/participant records, effectively follow collective bargaining, participation, adoption and reciprocal agreements, and be responsible for accuracy of work produced to meet monthly deadlines. This position is part of a team and will cross train in the Pension Benefit area to create a well-rounded understanding of the Plan operations.


  • Research and maintain billing documents, including reciprocity documents, and analyze and document adjustments.
  • Maintain accurate files and database systems, research and adjust employer/participant records.
  • Process and verify employer contribution reports. Effectively follow contribution and plan documents to determine the accuracy of employer remittance.
  • Verify Employer payment to amount due and research any discrepancies.
  • Enter data for all employer batches.
  • Create/maintain employer Master Files and employer mailing instructions. Includes set-up of new employers, terminate employer billings, update employers contact data.
  • Manage delinquent employer contributions; assemble data related to delinquencies.
  • Possess the ability to comprehend and effectively communicate the effect of adjustments on employer and employee records.
  • Review monthly exceptions reports for possible processing corrections and missing data.
  • Distribute Local Union monthly reports.
  • Perform clerical functions in connection with workflow.
  • Work on various projects as needed.
  • Assist team members and cover for another employee due to absence or increased workload.
  • Perform additional assigned responsibilities required to support Operations.


  • College degree preferred or equivalent experience with a multi-employer, Taft-Hartley, defined benefit plan.
  • Proven track record of exceptional performance in providing professional customer service.
  • Ability to communicate effectively, both orally and in writing.
  • Strong verbal and interpersonal skills.
  • Able to work independently and within a team environment.
  • Able to handle multiple tasks and prioritize responsibilities while paying special attention to detail.
  • Demonstrates strong analytical and problem solving skills.
  • Strong mathematical aptitude.
  • Able to use office equipment such as computer terminal, PC, printer, copier, calculator, scanner, fax machine and multi-extension telephone.
  • Familiarity with Microsoft Office software.
  • Accounting and bookkeeping experience helpful
