HAZMAT ADMINISTRATIVE ASSISTANT
Hazmat Administrative Assistant
Grant Funded Position
This is a grant funded position at the National Labor College supporting the Railway Workers Hazmat training program. This position serves as the first level contact for all inquiries regarding registration, course information, billing and grant record keeping.
Duties and Responsibilities
- Register students for onsite and online courses in an Access database system and process their travel, room and board, personal requirements, stipend and expenses.
- Coordinate materials and logistics support for peer instructors conducting training for railway workers.
- Prepare, review, code, submit and track all invoices
- Maintain office and training supplies
- Research information on designated hazardous substances and regulations from OSHA, FRA, EPA and Dot
- Prepare contracts for trainers and submit for review and payment
- Design, proofread, copy and edit materials for programs and grant reports
- Provide clerical support to Hazmat Coordinator.
- Provide information and resolve administrative problems for training participants and instructors
- Represent the program at NIEHS grant awardee meetings to maintain data management reporting systems requirements for NIEHS
- Monitor and maintain the online Blackboard Learning System daily, including student statistics, questionnaires, quizzes, and course completion
- Issue completion certificates to students and process OSHA 10 and 30 hour cards
- Adminstrative support for OSHA programs
- Other duties as assigned
Qualifications
- A Bachelor’s degree from an accredited college or university
- Demonstrated understanding of NLC’s mission to provide higher education to union members
- Demonstrated strong writing and editing skills
- Demonstrated excellent customer service skills
- Demonstrated proficiency in Word, Excel, Access and general computer skills,
- Demonstrated ability and willingness to work collaboratively and put forth extra effort as required
- Documented ability to multitask, to meet competing deadlines and strong organizational skills
- Demonstrated ability to communicate effectively with a wide variety of individuals and groups
- Demonstrated ability to work with students in a respectful and supportive manner
Preferred
- Experience with Federal grants, including report writing and budget preparation and expense review
- Safety and Health background
Tests
- Spreadsheet, data entry, writing and judgment tests required.
Hours
Monday through Friday 9:00 –5:00 with an hour for lunch or 9 to 4:30 with a ½ hour lunch. Occasional weekend work and travel is required. This position reports directly to the Director of the Railway Workers Hazmat Training program.
