ADMINISTRATIVE ASSISTANT
Administrative Assistant
Academic Services Department
Grade Five
Duties and Responsibilities:
- Provide all administrative support to Provost and Deputy Provost
- Maintain calendar and schedule of Provost and Deputy Provost
- Effective liaison with other departments, partners and instructors
- Exercise sound judgment responding to inquiries both internal and external
- Responsible for database entry, extraction and creation of reports
- Responsible for handling travel arrangements and expense reports for Provost and Deputy Provost
- Responsible for processing invoices related to Academic Services
- Compose, format and edit routine correspondence, memoranda, reports and other materials
- Proofread and edit academic publications including catalog and brochures.
- Liaison with website staff to maintain up to date information on NLC webpage
- Liaison to Missouri Book Store for all classes
- Prepare agendas and minutes for Provost and Deputy Provost
- Issue teaching and course development contracts to adjunct faculty and prepare check requests for approval.
- Maintain calendar for all departmental activities
- Liaison to partners and coordinate all relative responsibilities for cohort and off site classes
- Willingness to work overtime and some weekends
- Other duties as assigned
Qualifications
- Bachelors degree from an accredited college preferred
- Minimum three years administrative level support experience
- Excellent verbal, written and analytical skills
- Experience creating spreadsheets and databases
- Experience with all aspects of meeting planning and scheduling
- Positive attitude and excellent interpersonal skills
- Professional, courteous and tactful
- Demonstrated ability to exercise sound office and work environment political judgment
- Ability to manage workflow and work within a team
- Demonstrated ability to work in high pressure environment and meet unpredictable deadlines
- Demonstrated ability to prioritize and manage multiple tasks
- Excellent problem solving skills
- Highly motivated and self starter
- Excellent computer skills including Microsoft Office (Word, Excel, Access, PowerPoint)
- Demonstrated ability to conduct internet research
Hours
Monday through Friday 9 to 5 with an hour lunch or 9 to 4:30 with a half hour lunch
Tests:
PC, clerical, database, spreadsheet, typing and judgment tests required
