POSITION ANNOUNCEMENT

Temporary Convention Assistant
Washington, D.C.
The United Food and Commercial Workers Union (UFCW) seeks an individual
that will work under the direction of the Assistant to the President
assigned as Convention Coordinator. This temporary position will support
advance planning activities as well as on-site logistics for the 2008
UFCW International Union Convention and its affiliated meetings and
events.
Duties:
- Develop and write
fliers, brochures, letters, reports and other promotional materials
for the 2008 UFCW International Union Convention.
- Arrange and coordinate
transportation in Montréal, Québec, Canada with Tourisme
Montréal or other transportation providers for Convention delegates,
staff, and guests, and primarily responsible for the transportation
arrangements required by the International President and International
Secretary-Treasurer, or other members of the UFCW Executive Committee.
- Prepare Convention
Center Resumé for all Convention offices, delegate education
program room assignments, and other meeting rooms (except the General
Session).
- Coordinate with
key UFCW International headquarters departments and offices on office
set-ups, including equipment and furniture rentals. Will be required
to provide on-site execution during load-in, on-site trouble-shooting,
and facilitating load-out as liaison between the Palais des congrès
de Montréal, UFCW, and Convention Services Unlimited, as the
UFCW's General Services Contract (GSC) for this event.
- Coordinate with
UFCW International headquarters departments and offices, Kelly Press,
Incorporated, and Convention Services Unlimited, as the UFCW's GSC,
and prepare documents required by Livingston Custom Brokers Services
to ship/transport Convention materials to Montréal, Québec,
Canada.
- Support UFCW
Travel Manager with all food and beverage functions for officers,
staff and crew at the Palais des congrès de Montréal
beginning with load-in on Tuesday, August 12, through Friday, August
22.
- Coordinate child
care requirements prior to, and during the Convention, with the child
care services provider selected to provide these services.
- Connect with
UFCW Canada Québec Office, Tourisme Montréal, destination
management companies or other providers to identify sightseeing tours
and activities available to Convention delegates and guests in Montréal,
Québec, Canada.
- The incumbent
may also assist the Assistant to the President in other areas related
to the 2008 UFCW International Union Convention's production and operations.
Qualifications:
Minimum three years work experience in meeting or event planning required;
Meeting Planning Certification desirable. Work experience using software
applications such as Word and Excel are required.
- Ability to write,
prepare and edit in a creative and clear manner.
- Strong quantitative
and organizational skills and attention to detail required.
- Knowledge of
labor unions and operations desired.
- Knowledge of
travel, hospitality and tourism industries desired.
- Must show a
pleasant demeanor and be innovative and participatory rather than
reactive.
- Ability to communicate
effectively, both orally and in writing.
- Ability to handle
multiple projects simultaneously.
- Ability to work
independently and develop and maintain relationships with all levels
of staff both headquarters and field.
- Requires strong
interpersonal skills and patience.
Ability to manage
multiple priorities and meet time-sensitive deadlines, while responding
to Convention-related requests from International headquarters, region
and local union offices, and vendors regarding preliminary and post
event activities. Long hours are sometimes necessary. Must be able to
engage in travel throughout the United States and Canada, and specifically
commit to being in Montréal, Québec, Canada during the
time period of Thursday, August 7 to Saturday, August 23, 2008. Must
have a valid United States Passport. This position involves, but is
not limited to, use of computer keyboard, close vision, sitting or standing
for long periods, stooping, bending and reaching.
Duration:
