TRAVEL AND EVENTS COORDINATOR - NON-PROFIT EXPERIENCE REQUIRED (OAKLAND DOWNTOWN)
The California Nurses Association/National Nurses Organizing Committee (CNA/NNOC), the country's fastest growing labor union for registered nurses, seeks an experienced, professional, Events/Travel Coordinator to manage all aspects of events planning in collaboration with the Assistant Director of Operations to meet the organizational needs for events and travel.
The California Nurses Association/ National Nurses Organizing Committee currently represents 85,000 registered nurses in California and across the country. This position will divide their time between travel planning and events coordinating, qualified applicants will have significant experience in both areas.
• TRAVEL: Travel responsibilities will include managing and securing travel arrangements for key staff and large convention size groups. This position will also coordinate with and oversee day to day travel planning made through affiliated travel agency to ensure timely service and adherence to company travel policies and priorities.
• EVENTS: CNA/NNOC conducts a number of small and large scale meetings and events nationally. Events can range from marches and rallies, to legislative advocacy and picket lines. Meetings include annual conventions, staff and board meetings, educational trainings for members. Top applicants will have a proven record of working in a fast pace environment, meet short deadlines, flexibility, and creative and effective problem solving skills. Occasional travel and evening/weekend work is required.
Skills & Qualifications:
• 5+ years event and travel planning experience
• Certified Meeting Professionals (CMP) certification
• Experience with non-profit/social justice organizations
• Proficient in travel planning and software (Sabre experience preferred)
• Experienced in event and travel management for large (1500 to 5000 participants), medium (500 to 1500 participants) and small (meetings of 20 to 500 participants) scale events
• Working knowledge of hotel industry
• Skilled in negotiating contract terms and conditions for all aspects of the hospitality and travel industry
• Detail oriented and organized, possess excellent verbal and written communication skills and proficient in Microsoft Programs (Word, Excel, Outlook) and on-line booking tools (Sabre or other travel booking tools preferred)
• Ability to manage multiple tasks, prioritize work effectively, work with a variety of personalities, be a team player, meet stringent deadlines, and work well under pressure
Demonstrated experience with the following responsibilities:
• Significant experience working with travel agencies, including oversight of day to day travel planning to ensure timely service and adherence to company travel policies and priorities.
• Significant experience working with car rental and hotels
• Conference space and set up
• Room block/reservations/and accommodations for Leadership Team and Staff
• Banquet requirements/food and beverage/guarantees
• Audio visual and other technical requirements
• Staffing logistics and assignments
• Serve as liaison to the facility and handle any on-site issues
• Speakers and Entertainment
• Seating Assignments, Table Tents, Staging, Decorations, Props, Special Equipment, Signs
• Education sessions, including scheduling moderators and speakers
• Coordination of registration activities (pre-event and on-site)
• Provide on-site assistance and management of logistics and arrangements
• Negotiate routes with police and permitting authorities for rallies/marches
• Familiarity with bus companies and transportation negotiations v
