Administrative Assistant/Receptionist

San Francisco, CA


The International Alliance of Theatrical Stage Employees (I.A.T.S.E.) Local 16 in San Francisco is seeking an Administrative Assistant/Receptionist to join their front office team. This is a full time position, 40 hours a week, Monday to Friday, 9am to 6pm with mandatory over time during the busy season.

Duties and Responsibilities:

  • Answer a multi-line phone system and screen calls for office staff.
  • Process member and employer requests via telephone, email and walk-in and refer to appropriate staff for resolution.
  • Establish and maintain hard copy and/or electronic filing system.
  • Update and maintain member database which includes entering steward reports, contact information, directories and mailing lists.
  • Conducts inventory and orders office supplies consistent with approval policy.
  • Prepares materials, announcements and member notices.
  • Maintain service and supplies for office equipment; e.g., printer, copier and postage machine.
  • Other duties as assigned.

Qualifications:

  • Three to five years’ experience in providing administrative and front desk support. Experience working in labor unions is strongly preferred.
  • Excellent written (grammar, spelling and proofreading), verbal and interpersonal communication skills with attention to detail.
  • Experience across a range of office software applications including Microsoft Word, Excel, Access and Outlook are necessary.
  • Familiarity with ShoreTel Communicator is a plus.
  • Experience handling and maintaining confidential information.

Successful candidates will have a cooperative attitude and strong aptitude for learning quickly, with the ability to identify what they need to know and take the initiative to seek out relevant resources. They will have the ability to grow in this role and take on increased responsibility. They will think creatively to solve problems efficiently, be flexible and organized, and pay close attention to details. They should be able to work under pressure, manage multiple projects simultaneously and communicate effectively with staff and members.

Starting salary will be commensurate with experience, with excellent benefits and retirement package.
