Office Manager

New York Metro District, NY

SEIU 32BJ represents 86,000 members in the NY Metro area under the direction of three Vice Presidents. Our members work in commercial and residential buildings, NYC public schools, and the NY and NJ airports as security officers, window cleaners, ushers, superintendents, office cleaners, porters and handymen/women. The Office Manager supports the management and staff of NY Metro District, and is responsible for administrative support for all the work performed in the District. S/He reports directly to the Operations Coordinator.

Responsibilities include:

  • Manage the onboarding of new staff, from office space to online platforms, and ensure new users become proficient and independent in all systems.
  • Provide critical support for data and metrics systems, including processing union membership cards, updating member information management system, and assisting with shop steward evaluations. This work includes data entry as well as generating informative reports for use by union officers and staff.
  • Interface with office services and facilities management for any facility-related issues, including security, climate control, cleaning needs, work space, building access, etc.
  • Serve as the administrative manager of the “Brigade Program,” the union’s dynamic program for engaging members in organizing and contract campaigns.
  • Provide logistical and staff support for rallies, group member meetings and conferences as needed. These meetings and events range from small groups to rallies with thousands of people.
  • Provide key administrative support for the division, including correspondence, mass mailings, calendar management, ordering food and other administrative tasks.
  • Cover the member reception desk when needed, including monitoring the member traffic system (Qnomy), providing support for managing member flow and greeting members.
  • Other duties as assigned to support the union’s program and goals.

Qualifications:

  • Experienced office manager with track record successfully managing a large, fast-paced office.
  • Ability to adhere to established policies and procedures.
  • Demonstrated ability handling confidential material and information in a professional manner.
  • Excellent time management skills, including the ability to multi-task and prioritize work.
  • Excellent communications skills – verbal and written – including effective business writing.
  • Proficiency in MS Office, including Word (mail merge), Excel, Outlook and Power Point. Ability to learn internal data and workflow systems required. Ability to touch-type at 65 wpm required.
  • Attention to detail and problem solving skills, including effective troubleshooting – anticipating and finding solutions to developing problems.
  • Strong organizational and planning skills in a dynamic environment.
  • Ability to work as part of a team, as well as be a motivated self-starter.
  • Strong interpersonal skills, particularly the ability to treat members with care, friendliness and compassion.
  • Willingness and ability to work outside of core business hours including evenings and weekend as needed.
  • Experience with, and commitment to, social justice issues a plus.
  • Bilingual English/Spanish required.
